Mediakim (Pty) Ltd ("Mediakim", "we", "us") respects your privacy and processes personal information in line with South Africa's Protection of Personal Information Act, 2013 (POPIA). This policy explains what we collect, why, how we look after it, and your rights.
1. Who is responsible (Responsible Party)
Mediakim (Pty) Ltd (registration number 2019/349410/07), a company registered in the Republic of South Africa, is the Responsible Party for your personal information. Our registered address is available on request.

2. What we collect
- Identity & contact: name, email address, phone number, company name.
- Billing: billing details and payment records (we do not store full card data — payments are handled by our payment provider).
- Account & usage: login records, the packages, projects, jobs, invoices and support tickets linked to your account, and basic technical data (such as IP address and device/browser information) needed to run and secure the Platform.
- Content you provide: material you upload or send us to deliver your work.
3. Why we process it (purpose)
- To create and manage your account and give you access to the client portal.
- To deliver, support and improve the Services you request.
- To prepare quotes, invoices and process payments.
- To communicate with you about your projects, account and support requests.
- To send marketing updates only where you have opted in, and you can opt out at any time.
- To meet legal, tax and accounting obligations.
4. Legal basis
We process personal information where it is necessary to perform our contract with you, to comply with a legal obligation, for our legitimate business interests (such as securing the Platform), or with your consent (such as marketing).
5. How we store and protect it
Your information is stored using our infrastructure provider (Supabase) in a secure data-centre region, protected by access controls and row-level security so that you can only see your own data. We restrict staff access to what is needed to do their work.
6. Who we share it with
We do not sell your personal information. We share it only:
- with suppliers Mediakim engages on your behalf to deliver a specific service (for example print or specialist production), limited to what they need;
- with service providers who help us run the Platform (such as hosting, email delivery and payment processing) under appropriate safeguards;
- where required by law.
7. Cross-border transfers
Where a service provider stores or processes data outside South Africa, we take reasonable steps to ensure it is protected to a standard compatible with POPIA.
8. How long we keep it
We keep account information while your account is active and for seven (7) years after, where needed to meet tax and accounting obligations. We delete or anonymise information when it is no longer required.
9. Your rights
Under POPIA you may:
- access the personal information we hold about you;
- ask us to correct or update it (much of this you can do yourself in your dashboard profile);
- ask us to delete it, subject to legal retention obligations;
- object to processing or withdraw consent for marketing;
- lodge a complaint with the Information Regulator.
